Exchange impersonation: Room and/or User?

Your Organization must make a choice how to use the Outlook Room Booker. Especially the Exchange side gives you some possibilities to choose from. To make use of some functions, you will need to have a broader scope which has an effect on the Security related part of Exchange, sometimes this is not allowed, which has an effect on the functioning of the Outlook Room Booker.  TOPdesk will function in both scenarios the same, no choices need to be made for a particular configuration.

We’ve limited the choices to 2:

-Room Impersonation
-Room + User Impersonation

Room + User Impersonation

With this configuration applied you will benefit most from all the options our Outlook Room Booker has to offer:

  1. There is a full sync between Exchange and TOPDesk Meetings
  2. The booking from TOPDesk to Exchange is made on the user, the user is the owner of the booking
  3. The booking can be changed, deleted by the booker/user in TOPDesk and Exchange
  4. The original booker/user will be kept informed via e-mail if the booking is changed, created or canceled
  5. We have to use a broader scope for Exchange access rights

Room Impersonation

Room impersonation is the minimum we need. With this option we will only synchronize meetings between Rooms.
Please take the following limitations into account (compared with Room + User Impersonation) when this configuration is applied:

  1. Booking from TOPdesk to Exchange will have the room mailbox as owner of the booking.
    The booking from TOPdesk to Exchange is made and the room mailbox is the owner of the booking. The booking can’t be change by the original booker/user (from TOPdesk) in Exchange. If the booking has to be changed in Exchange you have to configure mailbox delegation, otherwise this won’t be possible.
  2. The booking is not in the Calendar of the booker, only in the calendar of the room
  3. The booking can only be change by the original booker/user in TOPdesk
  4. Booking from Exchange to TOPdesk is made on the user/booker in Exchange and TOPDesk, and can be changed and deleted by the booker/user in Exchange and/or TOPDesk
  5. The original booker/user will be kept informed via e-mail if the booking is changed, created or canceled
  6. We can limit the scope for Exchange access rights
